Refund & Cancellation Policy

1. Our Commitment to Satisfaction

At Pixanzo, we are committed to delivering high-quality web development services and ensuring client satisfaction. This Refund and Cancellation Policy outlines the terms under which refunds may be requested. We encourage you to read this policy carefully before purchasing our services.

2. Refund Eligibility

2.1 Before Work Begins

If you request a cancellation before we have started work on your project, you are eligible for a full refund (100%) of the advance payment made. "Before work begins" means:

  • No design mockups or wireframes have been created
  • No development work has been initiated
  • No content has been written or customized for your project
  • The project kick-off meeting has not occurred or no project planning has been done

2.2 After Work Has Started

Once work has begun on your project, refunds are calculated based on the work completed:

  • 0-25% project completion: Refund of 75% of the paid amount
  • 26-50% project completion: Refund of 50% of the paid amount
  • 51-75% project completion: Refund of 25% of the paid amount
  • 76-100% project completion: No refund available

Project completion percentage is determined by Pixanzo based on milestones achieved, work delivered, and time invested.

2.3 After Project Delivery

Once the final project has been delivered, approved, and the final payment has been made, no refunds will be provided. We encourage you to thoroughly review all deliverables during the revision phase before final approval.

3. Non-Refundable Items and Services

The following items and services are non-refundable under any circumstances:

  • Domain registration fees: Once a domain is registered, the fee is non-refundable
  • Third-party services: Costs for premium themes, plugins, stock images, or other third-party services purchased on your behalf
  • SSL certificates: Once purchased and activated
  • Hosting renewal fees: After the hosting period has begun
  • Digital marketing campaigns: Ad spend and marketing services already executed
  • Consultation fees: For paid consultation sessions that have been conducted
  • Custom development hours: For hourly-based work that has been completed

4. Cancellation Process

To request a cancellation and refund:

  1. Submit a written request: Send an email to info@Pixanzo.com with the subject line "Cancellation Request" and include your project details, order number, and reason for cancellation.
  2. Review period: We will review your request within 2-3 business days and assess the project status.
  3. Refund calculation: We will calculate the refund amount based on work completed and notify you.
  4. Agreement: Both parties must agree on the refund amount. If there's a dispute, we will provide detailed documentation of work completed.
  5. Processing: Once agreed, refunds will be processed within 7-10 business days to the original payment method.

5. Refund Processing Time

Approved refunds are processed according to the following timeline:

  • UPI/Bank Transfer: 5-7 business days
  • Credit/Debit Cards: 7-10 business days (depending on your bank)
  • Online Payment Gateways: 7-10 business days

Please note that refund processing times may vary depending on your financial institution. We will provide you with a refund confirmation once the refund has been initiated from our end.

6. Scope Changes and Additional Costs

If you request significant changes to the project scope after work has begun, this may result in additional costs. Additional charges are non-refundable once the additional work has been completed. We will always notify you of any additional costs and obtain your approval before proceeding with extra work.

7. Quality Guarantee and Revisions

Rather than seeking a refund, we encourage you to work with us to address any concerns:

  • Unlimited revisions: We work with you until you're satisfied with the project, within the original scope
  • Quality assurance: All work is thoroughly tested before delivery
  • Support period: 30 days of free support after delivery to fix any bugs or issues
  • Open communication: We maintain regular communication throughout the project

Most issues can be resolved through revisions and adjustments. We are committed to your satisfaction.

8. Client-Caused Delays

If project delays are caused by the client, refund eligibility may be affected:

  • Failure to provide required content, materials, or feedback for more than 30 days
  • Repeated delays in responding to our communications
  • Frequent changes to requirements or project scope
  • Non-payment or late payment affecting project progress

9. Pixanzo-Initiated Cancellations

In rare cases, Pixanzo may cancel a project if:

  • The project violates our terms of service or legal requirements
  • Client behavior is abusive or unprofessional
  • Technical or logistical reasons make project completion impossible
  • Client fails to provide necessary materials or cooperation

In such cases, you will receive a refund based on work not yet completed, following the same calculation method outlined in Section 2.2.

10. Disputes and Resolutions

If you disagree with our refund calculation or decision, we encourage open dialogue to reach a fair resolution. We will provide detailed documentation of work completed, including design files, code written, time logs, and milestone achievements. Most disputes can be resolved through good-faith communication. If necessary, both parties agree to mediation before pursuing legal action.

11. Hosting and Domain Refunds

11.1 Free Hosting Period

If your package includes 1 year of free hosting and you cancel the project before the website is launched, the hosting component has no separate refund value as it was included in the package price.

11.2 Paid Hosting

Hosting fees paid separately are refundable on a pro-rata basis if the hosting service has not been used or if cancelled within 15 days of payment. After 15 days, hosting fees are non-refundable.

11.3 Domain Names

Domain registration fees are non-refundable as domains are registered immediately with domain registrars. However, you will retain ownership of the domain and can transfer it to another provider.

12. Maintenance and Support Packages

For ongoing maintenance and support packages:

  • Monthly packages can be cancelled at any time with 7 days notice
  • Refunds are provided on a pro-rata basis for unused days
  • Annual packages are refundable for unused months, minus a 20% administrative fee
  • Any work completed during the billing period will be deducted from the refund

13. Changes to This Policy

We reserve the right to modify this Refund and Cancellation Policy at any time. Changes will be posted on this page with an updated "Last Updated" date. The policy in effect at the time of your purchase will apply to your transaction. For ongoing projects, policy changes will not affect existing contracts unless mutually agreed upon.
